Tenting
A tent permit is required on any structure or combination of structures within 12 feet of each other totaling more than 900' square feet by federal law. This means that any singular tent larger than a 30'x30' would require permitting for a legal installation.
Rent-E-Quip will assume responsibility of acquiring the permit unless the client would like to obtain the permit themselves.
We do have a few smaller tents that we allow customers to set up themselves as they do not require any special tools for installation. These are the 10'x10' & 10'x20' pop-up tents, and 20'x20' and 20'x30' self-install frame tents. Customers are responsible for checking for underground utilities and hazards when installing tents on their own behalf.
Yes! You may reserve any weather contingent items for 50% of their cost. If you end up using the items the initial 50% goes towards paying their total cost. If you end up not utilizing the items you would only lose the initial 50%. You have 48 hours before delivery to make the final decision of if you will be utilizing the items or not.
Yes! We offer solid, windowed, and clear vinyl panels for most of our tents. We also offer doorways in multiple styles.

Tent sizing depends on a multitude of variables. To get an accurate size on the tent you would need for your event we invite you to our showroom in Colonial Heights VA for a consultation, free of charge as always! A meeting takes approximately 45 to 90 minutes in which we create a full 3D CAD design of your desired layout.
Sure do! The three most common styles for lighting a tent are String Lighting, Bistro Lighting, and Onion Lighting.
General Policies and information
There is a 25% down payment that is placed on the items you are reserving. This payment serves to hold the items for your requested dates. The down payment goes towards paying for the total of the rental.
The down payment is non-refundable.

Delivery costs depend on a few different factors such as mileage to the job site, how much labor installation would require, and load-in and tear-down time frames. Please contact us to know pricing about your specific event.
We ask that final changes are made 1 week prior to the start of a rental. Changes can be made after this time period but we are unable to be as flexible with availability of items.
The E.P.P. (Equipment Protection Plan) or damage waiver, is included standard with every rental. Its purpose is to protect the customer against certain accidental damages that may happen over the course of the rental. In the end damages are a case by case basis. The E.P.P. is not insurance and is optional. You can opt out prior to the start of your rental.
Rental equipment is paid for by time rented out, not time utilized.
You can set a reservation as late as you would like, however availability may not be as good.
To place a reservation, create a quote online or in person and then talk to us to put down the 25% down payment to lock-in your reservation.
Some items have set-up included in their price such as; tents, staging, dance floors, and event flooring. Other items such as tables and chairs can be set up and are priced per item. We do not offer event design or decorative services.

Linens should be shaken of any loose debris and put into the provided red mesh bags prior to return.
A quick rinse of plates, glasses, and flatware is all that is required prior to the end of the rental. If we can't tell what you were eating we're happy!
We offer a complimentary on-site evaluations in which one of our event specialists will help you determine the ideal tenting that your venue may require. To determine if you need a site evaluation please contact us at 804-520-7100.
We provide CAD drawings with every tent rental. If you would like your layout personalized to your event just schedule an appointment with us! These usually take around 30-45 mins to complete.
Severe Weather Policy
Rent-E-Quip stocks tents which are engineered to withstand all but the strongest gust however in the end tents are temporary structures designed to provide limited protection from weather conditions, primarily sun, and rain. There may be situations, particularly those involving strong winds and lightning, in which the tents will not provide adequate protection and may even be damaged or not provide sufficient protection.
Because it may be difficult to determine if the weather is severe enough to necessitate evacuation, it is best to err on the side of caution. In other words, if in doubt, evacuate. Client understands that it is Client's responsibility to be aware of changing weather conditions and to exercise its best judgment with regard to the evacuation of tents. Client agrees that in the event of a predicted storm or excessive winds, Rent-E-Quip, Inc. may dismantle any equipment that has been previously installed to ensure safety of all involved. Inclement weather may delay or prevent Rent-E-Quip, Inc. from installing equipment at an event.
